Adding keywords through a CSV import or copy-paste

Easily add a list of new keywords to be tracked in your SEOmonitor campaign

Updated over a week ago

With SEOmonitor, you can simply copy and paste a list of new keywords into an input or upload a CSV file. This can be done while you create the campaign (on the campaign creation wizard) or anytime afterward.

Note: If you're looking to import historical data for the keywords from another rank tracker, please contact our Customer Success team.

How does this work?

You can add the keywords through the Rank Tracker, by either inputting them manually (or copy-pasting) or by uploading a CSV file:

Adding keywords through CSV enables you to also create groups and associate the keywords to those groups. You don't have to prepare the CSV in a specific format to upload the keywords. As long as there is a column called Keywords, SEOmonitor extracts the keywords to be uploaded. If there is a Groups column anywhere else in the CSV, that is detected as well, and the keywords will be uploaded into the respective groups listed.

Note:

If the keyword upload is not successful for any reason, you can use the below structure for the CSV (a sample is attached at the end of the article) for best results:

Keyword name

Group(s)

keyword 1

group 1

keyword 2

group 1

group 2

keyword 3

group 3

group 1

If you're still facing problems with upload, contact us through Chat, or write to our Customer Success team and they can support you with the upload.

We recommend including the group names within the CSV so that your keywords get uploaded within the specified groups. But if you do a generic upload within the All Keywords folder, you can organize your keywords into folders and groups manually at a later stage as well.

If you'd like to bulk-upload groups of keywords into a specific folder, you will need to:

  1. Upload the keywords organized in groups via the CSV upload described above.

  2. Assign the uploaded groups into folders manually, OR enter the Edit mode and import the group structure via CSV.

This will organize the uploaded groups inside the folders specified in the CSV.

The keywords start processing in real time and you have the status of the import with an estimated time left, in the footer:

They’re added to our processing queues right away, so you can get fresh SERP and Search data for them. Unless there are abnormal imports causing massive loads on the systems or there is a public incident confirming delays, you’ll have them done in time.

Grouping considerations

  • Keywords representing your website’s brand name will be automatically added (only) to the Brand group.

  • Close variations of a keyword (aggregates) will always stay/move together when grouping them, so you might find some newly-imported keywords bringing in their already-tracked “children” or moving after their main variants.

  • Existing smart groups will show the updated list right away, when adding keywords that correspond to their set criteria.

Accepted characters for keyword and group names

For Keywords:

a-z A-Z 0-9 + - . ' $ % @ # () & _ a-zA-Z\p{L}\p{Mn}\p{Thai}/

For Groups/Folders:

a-z A-Z 0-9 - _ . $ % @ # & ' : () a-zA-Z\p{L}\p{Mn}\p{Thai} (no / or \ allowed)

Financial considerations

  • You will get a preview of the import, with the number of unique keywords in your list. If you have duplicates in the list or the CSV file, we’ll only add them once.

  • Re-importing already-tracked keywords will not cause them to be invoiced twice. And you can have the same keyword in multiple groups, and it would only count once towards invoicing.

  • To ensure you don’t go over some limit, you can set up Cost Control in Billing, within the Settings section: over all of the account, over any of the campaigns, or over some of them. Any kind of keyword import method will validate if the new import fits within the set limits:

  • When you no longer need the keywords, you can archive them. They will automatically be added to a Keyword Vault list and continue to be updated monthly, so you can keep an eye on them and bring them back to your Rank Tracker whenever you need to track them daily in the future.
